The weekly meeting is where SPLX OS earns its keep. In one hour the leadership team looks at the numbers on the Scorecard, reports on each of this quarter's Quarterly Priorities, agrees who owns which task, and works through the problems that are actually in the way. Everything said and decided is captured on the session record, so next week starts from what was left open instead of from memory.
Priya at Bayou & Co. held her first one on a Tuesday morning with five leaders in the room. By the end she had a 62% fill-rate metric flagged red, two priorities marked at risk, seven tasks with owners, and one problem resolved. Here is how to run the same meeting.
In SPLX OS the weekly meeting is called a Team Sync. Your workspace can rename it under Settings → Terminology; this guide uses the default names.
Before the meeting
A good first meeting needs three things in place. None of them takes long.
- A session on the calendar. Open Rhythm → Team Sync and either create a one-off session or set up a recurring series (see How to schedule a recurring Team Sync). Choose a facilitator and add the people who will attend.
- A few Scorecard metrics. Add three to five numbers the team already tracks — weekly revenue, on-time delivery, open support tickets — under Strategy → Scorecard, each with an owner and a target. See How to build a scorecard metric.
- This quarter's priorities. Add the three to seven things the company must finish this quarter under Strategy → Quarterly Priorities, each with an owner. See How to set a quarterly priority.
If any of these is empty, the meeting still runs — the matching segment simply shows an empty message with a link to add what is missing — but the first meeting is far better with real numbers and real priorities on screen.
Start the session
Open the session from Rhythm → Team Sync and select Start session. The workspace's manage permission, the session's facilitator, or any listed participant can start it.
SPLX OS switches to a full-screen live view:
- A segment rail along the top shows every segment of the agenda, with the active one highlighted. Select a segment to jump to it.
- A countdown ring next to the segment title shows the time left in that segment; it switches to a plus sign and the overrun time when you go over. A running clock at the top shows the elapsed time for the whole meeting.
- The right-hand column shows Up next, any pending topics that people submitted before the meeting (see How to submit pre-meeting agenda entries), and Attendance, where you can add a participant or mark who is present.
- Previous and Next at the bottom move through the agenda. The Auto-advance switch moves to the next segment on its own when the timer runs out.
Press Escape or the back arrow to step out of the live view without ending the meeting; the session page then shows Resume presentation.
The default agenda, segment by segment
A session created without a custom agenda uses seven segments and about 90 minutes in total. Series can carry their own agenda template, so yours may differ; the order below is the default.
1. Check-in (5 minutes)
Each participant adds a short personal win and a professional win for the week. It is a quick way to start on a positive note and get everyone speaking before the numbers appear.
2. Scorecard (5 minutes)
This is the first heart of the meeting. The segment shows a table of your Scorecard metrics: the metric name, its owner, its target, the most recent six periods of actual values, a trend arrow, and a small sparkline. Values that meet the target show in a success colour and values that miss it show in red; the current period is shaded.
How to run it:
- Read down the table together. Skip anything on target and spend the time on the red cells.
- For each red metric, ask the owner one question: what is the cause? Don't solve it here — if it needs real work, drop it into the Problem solving segment later.
- Use the Include company metrics switch to choose whether company-wide metrics appear. If it is off and the session has no department, the segment tells you to turn it on or set a department.
The values come from the Scorecard itself, so update them there before the meeting. Diego at Northwoods Outfitters has each metric owner update their number the evening before so the meeting never starts with "I'll get that figure for you."
3. Quarterly Priorities (5 minutes)
The second heart of the meeting. Every priority for the current quarter appears with its owner and a status chip. Go through them one at a time:
- Ask the owner for a one-line report — are we on track?
- Select the status chip and set it to On track, At risk, Off track, Done, or Missed. The change saves to the priority itself, so the Quarterly Priorities page reflects it immediately.
- Mark the priority as discussed. The end-of-meeting summary counts how many priorities you covered.
The segment links to Quarterly Priorities if you need to edit a priority's details.
4. Updates (5 minutes)
A per-person view of each participant's open tasks and priorities, with the priority status chips alongside. Use it for anything that did not need discussion in the earlier segments. If nobody has open work, the segment says so.
5. Tasks (5 minutes)
This is where the meeting produces commitments. Anything left over from the previous session appears first under Outstanding action items from the prior session's title, so nothing is forgotten.
To add a task, type it into Add task…, choose an Owner and a Due date (both optional), and select the add button. Tick the checkbox beside a task to mark it complete. A task can also be promoted into a record elsewhere in SPLX OS — the promote button offers options such as a Task, Decision, Idea, Project, Problem, or Milestone, depending on what your role is allowed to create.
A good rule: every task has a single owner and a date before you leave the segment.
6. Problem solving (60 minutes)
The longest segment is for the problems the team chose to work on. Type a short description into Describe the problem…, add optional details, and select Add problem. Discuss one at a time, then tick it as resolved when the team agrees it is solved. For anything that needs follow-up, add a task in the Tasks segment, or promote the problem into a record such as a project.
Work in order of importance, not order of arrival. If a pending topic from before the meeting is more urgent than the problem on screen, switch to it.
7. Wrap-up (5 minutes)
Recap the tasks you created and who owns them, then end the session.
End the session
Select End session at the top right. A summary panel shows how the meeting went:
- Tasks — how many of this session's tasks are complete out of the total.
- Problems — how many were resolved.
- Priorities — how many were discussed out of this quarter's total.
- Rating — the average participant rating out of 10, once people have rated.
Confirm with End session. Attendance can no longer be changed after this. After the meeting ends, each participant can rate it from 1 to 10 with an optional comment; the average appears on the session page and on the session list, which gives you a simple trend of meeting quality over time.
If the session belongs to a recurring series, the series keeps generating your upcoming sessions on schedule, and open action items from the previous session are listed at the top of the next Tasks segment.
What a successful first meeting looks like
You are done when the session record shows:
- A Scorecard reviewed, with each red metric either explained or turned into a task or problem.
- Every Quarterly Priority marked with a current status and discussed.
- A task list with an owner and a date on every line.
- At least one problem resolved or handed off.
- The session ended and rated.
Run the same meeting at the same time next week. The second one is faster, and by the fourth the team stops preparing slides and starts preparing numbers.
Troubleshooting
- There is no Start session button. Only participants, the facilitator, or people with the Team Sync manage permission can start a session. Ask the facilitator to add you as a participant.
- The Scorecard segment is empty. Add metrics under Strategy → Scorecard, or turn on Include company metrics.
- The Priorities segment is empty. Add this quarter's priorities under Strategy → Quarterly Priorities.
- You need to skip this week. See How to cancel or skip a Team Sync session.
