How to cancel or skip a Team Sync session

Cancel a one-off session or skip a series occurrence, with optional reason, and restore it if needed.

Open in SPLX OS

Sometimes a session can't happen — a public holiday, low attendance, or a last-minute schedule conflict. Rather than deleting the session record, SPLX OS lets you cancel it (for one-off sessions) or skip it (for sessions that belong to a recurring series). The record is preserved, pre-meeting topic submissions are returned to the pool, and the session can be restored if needed.

Who can cancel or skip

Only users with the rhythm.team-sync.manage permission (owner, admin, or advisor role by default) see the cancel option. The button is hidden for contributors and viewers.

A session can only be cancelled before it has been started. Once you click Start session, the cancel option is no longer available.

Button label: "Cancel session" vs. "Skip this week"

The label changes depending on whether the session belongs to a series:

  • Cancel session — one-off Team Sync with no series link.
  • Skip this week — session is part of a recurring series.

The behavior is the same; only the label differs.

Step 1: Open the session

Navigate to Rhythm → Team Sync and click the session you want to cancel or skip.

Step 2: Open the cancel dialog

Click the ⋯ menu in the top-right header. You'll see Cancel session or Skip this week (highlighted in red) near the bottom of the menu. Click it.

Step 3: Enter an optional reason

A dialog opens. You can type a reason in the Reason field — for example, "Holiday", "Low attendance", or "Meeting moved". The reason is optional. Click Cancel session (or Skip this week) to confirm.

After cancelling

The session detail page updates immediately:

  • A banner appears at the top of the page with the text "Skipped this week by [name]" (for series sessions) or "Session cancelled by [name]", plus the reason if you entered one.
  • The agenda is still visible but greyed out.
  • The Start session button is replaced by Restore session.

The cancellation is recorded in the audit log under Team Sync session cancelled.

What happens to pre-meeting entries

Any pre-meeting agenda entries that participants had already submitted for this session are automatically returned to the series' pending pool. They will appear in the Pending topics pane for the next scheduled session without anyone having to resubmit them.

Restoring a cancelled session

If the cancellation was a mistake, or the session is back on, click Restore session (visible only to users with rhythm.team-sync.manage). The banner clears, the cancel reason is removed, and the session returns to its normal upcoming state.

The restoration is recorded in the audit log under Team Sync session restored.

What is not affected

  • The series schedule is unchanged. The next occurrence is generated on its normal cadence — skipping one week does not shift future dates.
  • Tasks, problems, and participants attached to the session before cancellation remain in place.
  • Ratings and attendance cannot be recorded on a cancelled session.
