How to schedule a recurring Team Sync

Create a series so Team Sync sessions are generated automatically on your chosen cadence.

Open in SPLX OS

One-off Team Sync meetings work well for ad-hoc reviews, but for weekly leadership syncs or standing department check-ins you want the sessions to appear automatically. A series handles this — it holds the schedule, the default facilitator, and the agenda template, then generates each session for you ahead of time.

Bayou & Co. runs a bi-weekly supply chain review every other Wednesday at 09:00 Central. When Priya, their operations director, set up the series, she stopped spending five minutes each cycle creating the next session by hand.

Before you start

Creating a series, editing an existing one, or changing its schedule all require the rhythm.series.manage permission (owner, admin, or advisor role by default) — contributors and viewers cannot create or edit a series.

Option A: Create a series directly

  1. Click Rhythm → Team Sync in the sidebar, then open the Recurring Series tab.

  2. Click New series.

  3. Fill in the series details:

    Field Notes
    Title e.g. Supply chain review
Duration (min) Controls how long each generated session block is
Frequency Daily, Weekly, Monthly, or Yearly
Repeat every The interval — choose Weekly and repeat every 2 for a bi-weekly meeting
Days of week Shown for Weekly frequency
Time and Timezone Time of day in the timezone you pick; the timezone defaults to your browser's
End Never, after a number of occurrences, or by a date
Facilitator Optional; the default person who runs each session, and can be changed per session
Department Optional; links the Scorecard and Priorities agenda segments and enables carry-forward
  4. Click Create series. The scheduler generates the next upcoming session automatically.

Option B: Convert a one-off session into a series

If you already have a one-off Team Sync that you want to repeat:

  1. Open the session's detail page.
  2. Click the ⋯ menu in the top-right corner and choose Convert to recurring series.
  3. Give the series a name and duration, and set the schedule (frequency, repeat interval, days, time, and timezone).
  4. Click Convert to series. The current session becomes the first occurrence of the new series.

What gets generated automatically

Once the series is active, the scheduler creates the next session when the current upcoming one is within the generation window. Each generated session inherits:

  • The series title (you can edit it per-session).
  • The facilitator.
  • The department link (for Scorecard, Priorities, and carry-forward).
  • The agenda template, including any custom segments you've added.

Pausing and resuming a series

From a session's detail page, find the series panel (visible when the session belongs to a series; it shows an Active or Paused badge) and click Manage series. At the top of the Series settings panel, click Pause. No new sessions are generated while the series is paused. Click Resume to restart generation. You can also open the same panel with the Edit series icon on a series card on the Recurring Series tab.

Editing series settings

From any session in the series, click Manage series in the series panel (or use the Edit series icon on the series card). You can change the title, schedule, duration, facilitator, and department. Changes apply to sessions generated after the edit — existing sessions are not retroactively updated.

What comes next

Now that the series is running, team members can submit topics before each session. See How to submit pre-meeting agenda entries for that workflow.
