Every person who accesses your SPLX OS workspace is a workspace member with a defined role. Workspace owners and admins control who can join, what they can see, and what they can do. This guide walks through the full lifecycle: inviting someone, adjusting their role, and removing them if needed.
Workspace roles
SPLX OS has five workspace-level roles:
| Role | What they can do |
|---|---|
| Viewer | Read-only across the workspace; cannot create or edit records |
| Contributor | Participates in day-to-day work — comments on tasks, submits ideas, submits check-ins, and runs Stand Up sessions and Weekly meeting entries |
| Admin | Manage members and modules; access all data across the workspace |
| Advisor | External collaborator role — full create-and-edit access across modules; cannot manage the workspace itself |
| Owner | Everything an admin can do, plus the ability to assign the Owner role and change or remove other owners |
Most of your day-to-day team will be Contributors or Admins. Owners is typically reserved for founders or senior operators. Viewers are useful for stakeholders who need visibility without edit rights; Advisors are for external collaborators who need broad operational access without workspace-management control.
Inviting a new team member
Open Settings in the sidebar, then Team in the Settings menu (or go directly to /settings/team). Only owners and admins can invite people.
Click Invite person in the top-right corner. Enter the person's email address and choose their role from the dropdown, which shows a one-line description of each. Invitation options are Viewer, Contributor, Admin, or Advisor — Owner cannot be granted via invite.
Click Send invitation. The recipient receives an email with a link to accept, and a dialog shows the same link once so you can copy and share it yourself — it can't be retrieved again. The invitation is valid for 48 hours. Pending invitations appear in a Pending invitations section below the member list, along with their expiration, and the member list header shows how many people are in the workspace.
Priya at Northwoods Outfitters invites seasonal guides as Contributors at the start of each summer, giving them access to the project tracker and task assignments without visibility into billing or admin settings.
Changing a member's role
Find the member in the Team list and click their current role. A picker opens with the built-in roles, Advisor under "outside the ladder", and any custom roles your workspace has defined (with a Create new role… link at the bottom). Choose a role and it takes effect immediately — there is no separate Save step.
A few constraints to be aware of:
- You cannot change your own role.
- Only owners can see the Owner option or change another owner's role.
- The workspace must always have at least one Owner. The system will block any action that would leave the workspace without an owner.
Removing a member
Click Remove at the end of the member's row and confirm in the Remove member dialog. The person immediately loses access to the workspace. Their historical contributions (tasks, comments, audit log entries) remain intact — only their ability to log in is revoked.
If you removed someone by mistake, you can re-invite them at any time.
Diego at Bayou & Co. removes contractor accounts at the end of each engagement. Because their contributions stay in the audit log, there's no loss of history — just a clean separation of active and former collaborators.
Revoking a pending invitation
If you sent an invitation to the wrong address, find it in the Pending invitations list and click Revoke, then confirm. The invitation link is immediately invalidated. Resend on the same row sends a fresh email with a new 48-hour window; an invitation that has fully expired drops off the list and can't be resent, so just send a new one.
Managing team structure beyond workspace membership
Workspace membership gives someone access to SPLX OS. If you also use the People module, you can go further: create a people directory, define departments, and build an org chart that maps seats to roles.
The People directory at /people/directory lists employee profiles and virtual "unlinked" entries for members without a stored profile. Unlinked entries are not saved employee profiles; profile-dependent features need a stored profile. Each row on the Team page also links to the member's directory profile.
See the People module for department and org-chart management.
What comes next
Once your team is in place, you can start assigning them to projects. See How to create your first project to set up your first shared workspace.
