How to create your first project

Set up a project, invite collaborators, and define your first milestones.

Open in SPLX OS

Projects are the primary unit of structured work in SPLX OS. When Northwoods Outfitters decided to revamp their seasonal guide training program, they started by creating a project in the Execution module — within 10 minutes they had a shared workspace where Priya, their operations lead, could track milestones and assign tasks across the team.

Here's how to do the same.

Before you start

Execution is a required module, so it is on in every workspace and the Execution section is always in the left sidebar. It contains Ideas, Tasks, Projects, and Problems (plus Lessons Learned when that feature is enabled).

You need the execution.projects.create permission to create a project, which owners, admins, advisors, and contributors hold by default; viewers can only read projects.

Step 1: Open the Projects list

Click Execution → Projects in the sidebar. The list defaults to showing only Active projects. On a fresh workspace this view will be empty — that's expected.

Step 2: Create the project

Click + New project in the top-right corner. A dialog opens with four fields:

  • Title (required) — give your project a descriptive name. Northwoods Outfitters used "Guide Training Program — Summer 2026".
  • Description (optional) — a short summary of the project's goal. You can add or edit this later.
  • Owner — assign a workspace member as the responsible party. If you leave this blank, you become the project owner. If you pick someone else, they become the owner and you are added as a regular member so you keep access.
  • Target date (optional) — a deadline or milestone date for the project as a whole. Individual milestones and tasks have their own due dates.

Click Create project when you're ready. You're taken straight to the new project's detail page.

Step 3: Add members

A project has its own member list, separate from the workspace member list. Non-admin users can only see projects they've been added to.

On the project detail page, find the Members section and click Add member. Select a workspace member and choose one of three roles:

Role What they can do
Owner Edit project settings, manage members, create milestones
Member Create and edit tasks within the project
Viewer Read-only access; cannot create tasks

If you leave the Owner field blank when creating the project, you are added as an owner automatically; if you name someone else, they are the owner and you are a Member. You can add as many owners as you like, but the project must always have at least one. Only project owners, and people with execution.projects.manage (owners, admins, and advisors by default), can add or change members.

Step 4: Add milestones

Milestones let you break a project into phases or checkpoints. They appear in order on the project detail page and can be reordered by dragging.

Creating milestones requires the execution.milestones.manage permission (owner, admin, and advisor by default). Click Add milestone in the Milestones section. Provide:

  • Title — for example, "Curriculum draft complete"
  • Target date (optional)
  • Status — starts as Active

Bayou & Co. used milestones to separate the three phases of their client-onboarding redesign project: Discovery, Build, and Launch. Each milestone made it obvious at a glance which phase was in progress and which was blocked.

Step 5: Add your first task

Tasks are the atomic unit of work. To add one, click the + button next to a milestone (or in the task list directly). Contributors can add tasks only to projects where they are a Member or Owner. At minimum, give the task a title. You can also set a priority, assign it to a member, attach it to a milestone, and add a due date.

What comes next

Once your project is running, you'll want to understand how ideas can be promoted into projects — see How to promote an idea to a project for that flow.

You can also explore the Tasks view at /execution/tasks for a cross-project list of everything assigned to you or your team.
