Projects have their own member list, separate from the workspace member list. This means you control exactly who sees and works in each project, independent of their workspace role. Non-admin users can only see projects they belong to — anyone not on the member list has no access at all.
Project roles
Each project member has one of three roles:
| Role | What they can do |
|---|---|
| Owner | Edit project settings (title, description, status, target date), manage members, create tags |
| Member | Create and edit tasks within the project |
| Viewer | Read-only access; cannot create or edit tasks |
There's also an interaction with workspace admin status: workspace admins can see and edit any project regardless of their project membership role. Milestone creation and deletion are restricted to workspace admins, independent of project role.
The person who creates a project is automatically added as an owner. You can have multiple owners.
Adding a member
Open the project detail page and scroll to the Members section. Click Add member, select a workspace member from the dropdown, and choose their role. Click Add.
The new member appears in the member list immediately and gains access to the project.
Priya at Northwoods Outfitters adds seasonal guides as Members when a new training project kicks off. Guides can create and update tasks but cannot change project settings or manage other members — keeping ownership clean as team composition shifts across seasons.
Changing a member's role
In the Members section, click the role dropdown next to any member and select a new role. The change takes effect immediately.
One constraint applies: the project must always have at least one owner. The system will block any action that would leave the project without an owner — including demoting or removing the last owner.
Removing a member
Click the remove icon next to a member in the Members section. That person immediately loses access to the project. Their previously created tasks remain intact — only their ability to open the project going forward is revoked.
Diego at Bayou & Co. removes contractors from projects at the end of each engagement. Because task history stays in place, there's no loss of context — just a clean separation of active collaborators from past ones.
Admin override
Workspace admins can see and edit all projects in the tenant, even if they're not on the member list. This means an admin can add themselves to any project, assist with tasks, or update project settings without needing an explicit member invitation.
What comes next
With the right people on a project, the next step is creating tasks and tracking progress. See How to create and assign tasks and How to use the Kanban board for those workflows.
