How to create and assign tasks

Add tasks to a project or standalone list, assign them to teammates, and track status from To Do to Done.

Open in SPLX OS

Tasks are the atomic unit of work in SPLX OS. They can live inside a project (attached to a milestone or free-floating), or exist as standalone items visible in the cross-project Tasks list. Either way, they carry status, priority, an assignee, and a due date.

Creating a task from the Tasks list

Navigate to Execution → Tasks in the sidebar. Click + New task in the top-right corner.

A dialog opens with the following fields:

Field Notes
Title Required
Description Optional; can be edited later
Status Defaults to To Do
Priority Low / Normal / High / Urgent. Defaults to Normal
Owner Pick a workspace member, or leave blank for unassigned
Due date Optional
Project Attach to an existing project from the dropdown

Click Create task. The task appears in the list immediately.

Creating a task from inside a project

If you already know which project the task belongs to, navigate to Execution → Projects, open the project, and use one of two entry points:

  • Next to a milestone — click the + button on the right edge of a milestone row. The task is pre-attached to that milestone.
  • In the task list below — click + Add task in the task list section. The task is added to the project without a milestone.

Either way, the same fields are available. The project field is pre-filled and locked; you can still choose a different milestone or leave it unattached.

Assigning a task to a teammate

The Owner field controls who is responsible for the task. You can set it at creation time or change it afterward.

To reassign an existing task, click the task row to open the detail panel. Use the Owner dropdown to select a different workspace member. The change saves immediately — there is no separate Save button for individual fields in the panel.

Diego at Northwoods Outfitters assigns tasks to seasonal guides at the start of each program week. He sets priority to High on anything with an external deadline and leaves the rest at Normal so the list is self-organizing by urgency.

Understanding status and priority

Tasks move through five statuses:

Status What it means
To Do Not started
In Progress Actively being worked
In Review Work complete; awaiting review
Done Finished
Cancelled Stopped; no longer needed

The Tasks list defaults to showing To Do, In Progress, and In Review. Use the status filter chips at the top of the page to show Done or Cancelled tasks.

Priority has four levels — Low, Normal, High, and Urgent — displayed as a badge in the list. You can sort by priority in ascending or descending order using the column header.

Updating multiple tasks at once

Check the boxes on the left of any task rows in the Tasks list to reveal the bulk-action toolbar. Use the Change status dropdown to move all selected tasks to a new status in one action. Failed updates stay selected so you can retry.

What comes next

Once tasks are running, use the Board view on a project's detail page to see them organized by status as a Kanban board — see Use the Kanban board for that workflow.
