How to create and assign a course

Build a course with text, video, and quiz blocks, set passing criteria, then assign it to a team member with a due date.

Open in SPLX OS

When Northwoods Outfitters brought on 17 new seasonal guides last spring, their operations lead Priya needed a repeatable way to certify that every hire had reviewed the equipment-safety module before their first shift. She built a course in SPLX OS with ordered content blocks — a text overview, a video walkthrough, and a short quiz — then assigned it to each new hire with a 7-day due date. By day three, 11 of 17 had completed it; the two who hadn't showed up highlighted in the assignments table.

This guide covers creating a course, adding content blocks, and assigning it to employees.

Before you start

  • You need admin-level access (or the training.courses.manage permission) to create and edit courses.
  • Assigning a course to an employee requires the training.assignments.manage permission.
  • The Training module must be enabled. Go to Settings → Modules and toggle it on if it isn't already.

Step 1: Open the Courses list

Navigate to Training → Courses in the left sidebar. The list shows all courses in your workspace, grouped by status (Draft, Active, Archived). On a fresh workspace the list will be empty.

Click + New course in the top-right corner. A dialog opens. Enter a title — for example, "Equipment Safety — Summer 2026" — and an optional description. Click Create course to land on the course detail page.

Step 2: Set course metadata

On the course detail page, click Edit metadata to open the metadata dialog. The fields that affect assignment behavior are:

Field What it does
Passing score Minimum quiz score required to mark the assignment completed. Enter a percentage, e.g. 73. If left blank, the system default applies.
Expiry (months) How many months from completion before the certification needs to be renewed.
Default due days Auto-fills the due-date field when you assign the course. Northwoods set this to 7 so new-hire assignments default to one week.

Leave the status as Draft while you build the content. Click Save changes.

Step 3: Add content blocks

Content blocks are the ordered sections a learner works through. On the course detail page, find the Content blocks card and click Add block.

Choose a block type:

  • Text — a rich-text section for written instructions, policy excerpts, or reference material.
  • Video — paste a URL (YouTube or Vimeo). The block embeds the player inline.
  • Quiz — a multiple-choice question. Set the correct answer; the learner must answer correctly to advance.

Blocks render in the order you add them. Drag a block's handle on the left to reorder. A typical sequence for Northwoods Outfitters: Text (overview) → Video (walkthrough) → Quiz (comprehension check) → Text (closing resources).

To edit an existing block, click its title to expand it inline. Click the trash icon to delete a block — this cannot be undone.

Step 4: Activate the course

A course in Draft status cannot be assigned. Once the content is ready, click Edit metadata, change Status to Active, and save. The status badge on the detail page updates to Active.

Courses follow a one-way lifecycle: Draft → Active → Archived. Archived courses cannot be re-assigned but existing assignments continue to completion.

Step 5: Assign the course to an employee

Navigate to Training → Assignments (/training/assignments). Click Assign course in the top-right corner.

In the dialog:

  1. Select the course from the dropdown. Only Active courses appear.
  2. Search for the employee by name or email. Click their row to select them.
  3. Optionally adjust the Due date. If the course has a default due-day setting, the date field pre-fills automatically.
  4. Click Assign course.

The assignment appears in the table with status Assigned. The employee can see it on their Training → My Training page (/training/me) under the "Up next" section.

What the employee sees

When the employee opens the assignment, they work through each content block in order. Progress auto-saves. Once they reach the final block and pass any quiz questions, the assignment moves to Completed and the completion date and score are recorded.

If a quiz answer is wrong, the learner can retry immediately. The final score reflects the highest attempt.

Tips

  • If you need to assign the same course to several employees at once, open Training → Assignments and click Assign course for each person separately — batch assignment is not yet available.
  • To see who has completed a course and their scores, go to Training → Reports (/training/reports) and review the "Completion rate by course" table.
  • If a certification expires (based on the Expiry setting), the assignment shows as expired on the employee's My Training page. Reassign the course to renew it.
