Northwoods Outfitters runs a daily equipment safety check every morning before guides head out. Rather than relying on someone to remember to start the run each day, Priya configured a recurring schedule — the system kicks off a new run automatically at 08:00 UTC on every weekday.
Here's how to set that up.
Before you start
- The process must exist and have status Active. Scheduling is configured on the process detail page; there is no way to schedule a draft or archived process.
- You need admin-level access. The schedule controls are read-only for non-admins.
Step 1: Open the Schedule tab
Navigate to Process → Library and open the process you want to automate. Click the Schedule tab on the process detail page. A green dot indicator appears on the tab label whenever recurring runs are enabled.
Step 2: Enable recurring runs
Toggle Enable recurring runs on. The time and days-of-week controls become active.
Step 3: Set the time (UTC)
Enter the hour (0–23) and minute (0–59) in the Time of day (UTC) fields. All schedule times are in UTC — convert from your local timezone before saving.
For example, Northwoods Outfitters operates on Alaska time (UTC−9 in summer). An 8:00 AM local start maps to 17:00 UTC.
Step 4: Choose the days of week
Click the day abbreviation buttons (Su, Mo, Tu, We, Th, Fr, Sa) to toggle each day on or off. Selected days are highlighted. At least one day must be selected before you can save.
A schedule summary appears below the day picker showing the resulting schedule in plain language — for example, "Runs at 08:00 UTC on Mon, Tue, Wed, Thu, Fri."
Step 5: Set step assignment mode
The Step assignment section controls how step assignees are determined on automatically started runs:
- Use step defaults — each step is assigned to the role (seat) configured on the step, resolved at run-start using the current primary assignment.
- Unassigned — no step assignments are made. Team members claim steps themselves as they work through the run.
Step 6: Save the schedule
Click Save schedule. The schedule is active immediately.
Disabling a schedule
Return to the Schedule tab and toggle Enable recurring runs off, then click Save schedule. No new runs will be started, but any in-progress runs are unaffected.
What to expect
At the configured day and time (UTC), the system starts a new run exactly as if someone had clicked Start run manually. The run appears in Process → Runs with status In progress. If a run from a previous cycle is still in progress when the next scheduled start fires, a new run is started regardless — multiple in-progress runs for the same process are allowed.
Tips
- Schedule times are always UTC. Use a world-clock tool to find the right UTC equivalent for your team's local start time.
- If a process is archived, the schedule is ignored — no new runs are started, and the configuration is preserved in case the process is later replaced.
- Changing the schedule (time, days, assignment mode) takes effect on the next firing. In-progress runs are not affected.
