How to log monthly revenue figures

Record individual revenue entries and see them roll up into monthly totals on the dashboard.

Open in SPLX OS

Bayou & Co. closes their books at the end of each month. Their admin, Diego, spends about ten minutes recording that month's revenue entries in SPLX OS — each entry is a service line or a payment batch. By the time he's done, the Finance dashboard already shows updated MTD totals and goal attainment without any extra steps.

Here's how to do the same.

Before you start

  • The Finance module must be enabled. Navigate to Settings → Modules to check. If Finance isn't listed or is toggled off, ask a workspace owner to enable it.
  • Creating revenue entries requires admin or owner role. If you see the Revenue page but no New revenue button, you do not have the required role.
  • If you use revenue categories, set them up first at Settings → Modules → Finance so they're available in the entry form. Categories are optional but make the dashboard breakdowns more useful.

Step 1: Open the Revenue list

Click Finance → Revenue in the sidebar (or navigate to /finance/revenue). You'll see all previously recorded entries, with filters at the top for date range, status, category, and source.

Step 2: Click New revenue

Click the New revenue button in the page header. The New revenue dialog opens with five fields:

Field Required Notes
Amount Yes Enter in dollars and cents — for example, 4750.00 for $4,750
Date Yes The date the revenue occurred, not the date you're entering it
Status No Defaults to Recognized. Use Pending for amounts expected but not yet confirmed.
Category No Pick from your category registry. Leave blank if uncategorized.
Description No A short label — for example, "May services — Mei Lin account"

Diego at Bayou & Co. typically logs one entry per client per month, categorized under "Services" or "Products" depending on the engagement type. Northwoods Outfitters logs a single entry for each weekly reconciliation run, using the description field to note the week-ending date.

Step 3: Save the entry

Click Save. The entry appears at the top of the Revenue list with the date and amount you entered.

Repeat for each revenue event you need to log. The dashboard and goal attainment figures update immediately — there is no end-of-month close step.

Step 4: Verify it shows up on the dashboard

Navigate to Finance → Dashboard (or /finance/dashboard). The MTD revenue tile in the top row shows the sum of all recognized entries whose occurredAt date falls within the current calendar month. If you just logged an entry for this month, the tile will reflect it.

The Revenue by category section below the KPI tiles breaks the same MTD total into proportional bars by category — useful for spotting which service lines are driving revenue.

Correcting an entry

If you entered the wrong amount or wrong date, open the entry detail page by clicking the row in the Revenue list, then click Edit. You can change the amount, date, status, category, and description. Click Save to update.

To remove an entry entirely, use Delete on the detail page. The entry is soft-deleted — it disappears from all views but is retained in the database.

Entries synced from an integration (marked with a Synced badge) cannot be edited or deleted via the UI. Correct them in the source system and wait for the next sync.

Tips

  • Use the date range filter on the Revenue list (/finance/revenue?from=YYYY-MM-01&to=YYYY-MM-31) to see all entries for a specific month without scrolling the full history.
  • Pending vs Recognized: Setting status to pending excludes the entry from goal attainment calculations. Switch it to recognized once the payment is confirmed.
  • Load more: The Revenue list shows 50 entries at a time. Click Load more at the bottom to fetch the next page if you have a long history.
