When Northwoods Outfitters started tracking corporate outfitting contracts, their admin Priya set up a three-stage pipeline — Prospect, Proposal, and Closed — in about 5 minutes. Two weeks later her team had 11 active deals spread across the board and a weighted pipeline value they could report to leadership every Monday.
Here's how to build the same setup.
Before you start
- Creating and editing pipelines and stages requires admin, owner, or advisor role.
- Creating and moving deals requires admin, owner, or advisor role — contributor and viewer can view deals but not create or move them.
- Pipelines and deals are only available in B2B or Both mode. In pure B2C mode the Deals page shows an empty state directing you to module settings. See How to switch between B2B and B2C modes if you need to change modes first.
Step 1: Open the Pipeline board
Click CRM → Pipeline in the sidebar. If no pipelines exist yet you'll see an empty board. The pipeline selector dropdown at the top of the page shows the active pipeline.
Step 2: Create a pipeline
Click the pipeline selector dropdown. Admins see a New pipeline option at the bottom. Enter a name for your pipeline. In Both mode you'll also choose the pipeline kind: Deals (deal cards) or Contacts (contact cards). Click Create to save.
The new pipeline appears with no stages — the board is empty.
Step 3: Add stages
With the pipeline selected, click Edit stages (visible to admins as a toggle near the top of the board). Each column gains controls. Click + Add stage at the right end of the header row to add your first stage.
Give the stage:
- Name — for example, "Prospect", "Proposal sent", or "Closed won"
- Probability — an integer 0–100 representing the likelihood of the deal closing. Used to calculate weighted values shown in column footers and on the Forecast page
- Commission trigger (optional toggle) — mark this on a "closed" stage to signal that deals entering it have been won. Deals in commission-triggered stages are excluded from the Forecast page
Add each stage in order. You can reorder stages later using the left/right arrows that appear in stage edit mode.
Click Edit stages again to exit stage-editing mode.
Step 4: Create your first deal
Deals are always created from the Pipeline board. Click New deal at the bottom of any stage column. The create dialog opens pre-selected to that stage.
Fill in:
| Field | Required | Notes |
|---|---|---|
| Title | Yes | Name the opportunity |
| Stage | Yes | Pre-set to the column you clicked |
| Value | No | Numeric amount |
| Currency | No | 3-character code, defaults to USD |
| Owner | No | Workspace member; defaults to Unassigned |
| Close date | No | Used on the Forecast page |
| Company | No | Searchable picker with inline "Create new company" option |
| Contacts | No | Multi-select; supports inline "Create new contact" |
Click Create deal. The card appears in the column you selected.
Step 5: Move deals through the pipeline
Drag a deal card from one column to another. The stage change saves immediately. If you have multiple deal pipelines, a three-dot menu on each card (visible when more than one pipeline exists) lets you move the deal to a different pipeline entirely.
Step 6: Edit deal details
Click a deal card's title to open the deal detail page. Click Edit to open the edit dialog, where you can update all creation fields plus two additional ones:
- Probability override — an integer 0–100 that replaces the stage's default probability for weighted-value calculations. Leave blank to use the stage default. A "Custom" badge appears on the deal detail page when an override is active.
- Notes — free-form text
Viewing all deals
Click CRM → Deals to open the deals list. The table shows all deals with sortable columns (title, stage, value, close date, last updated). Filters include search (title or notes), pipeline, stage, owner, value range, and close-date range. Deals load 50 at a time with a "Load more" button.
Viewing the forecast
Click CRM → Forecast (B2B and Both modes only) to see deals grouped into close-date buckets: this month, next month, this quarter, and next quarter. Each bucket shows raw value and weighted value. Deals with no close date appear in a separate section — set close dates on your deals to keep the forecast useful.
